An AI voice recorder is a microphone product first and a software product second. The transcript can be no better than the audio that enters it, and the product is trusted only if recordings are never lost and never leak.

Microphones come first

Number, spacing and position of the microphones decide how far and how clearly the device hears a room. A table recorder, a pocket recorder and a wearable pendant need three different layouts. Test with real meeting rooms and real voices at different distances.

Where transcription runs

  • Cloud: better accuracy, more languages, speaker labels and summaries, at a per-use cloud cost.
  • On-device: private and offline, at lower quality and fewer languages.
  • Both: a quick local pass for a draft and a fuller cloud pass afterwards.

The choice changes the silicon tier, the battery and the business model.

Storage and never losing a meeting

Record locally first, then sync. Plan for low battery, full storage and an interrupted sync. A recorder that loses a meeting does more harm than one that never transcribed anything.

Privacy

Meeting audio is sensitive. Encrypt on the device and in transit, tell the user where recordings go, and give clear deletion control. If recordings are processed in the cloud, choose regions and providers with the target market in mind.

Rules about recording conversations differ by country and state. Make the recording state obvious, with a light or sound, and help the user comply through the app.

Beyond transcripts

The valuable output is usually a summary, action items or a searchable archive. That work lives in the app and the server, and it is where a brand can differentiate, so scope it together with the hardware.

Battery and controls

A recorder is often started with one hand, in a hurry. Physical buttons, clear indicators and a battery that lasts a full day matter more than another feature.
